KeyFlow Pro

  • Q

What are the minimum system requirements?

    A
KeyFlow Pro requires Mac OS X 10.9.4 or later, 64-bit processor, and 4GB of RAM (8GB or more recommended).
  • Q

    Which file formats are supported?

    A
KeyFlow Pro supports almost all types of files: video, audio, image, document, and more. KeyFlow Pro has a built-in H.264 transcoder based on AVFoundation for preview video by default. To import formats not supported by the AVFoundation (such as MXF, AVCHD, and XAVC), FFmpeg should be additionally installed then added to the Encoder setting. To import RED formats (R3D and RMD files) can be done by installing REDCINE-X PRO, then adding to the Encoder setting in Preferences.
  • Q

    Which camera devices are supported?

    A
KeyFlow Pro supports all kinds of digital camera devices supported by macOS X.
  • Q

    Where can I store libraries?

    A
KeyFlow Pro libraries can be created and stored on any type of storage (a locally attached hard disk, DAS, NAS and SAN), but it is recommended to store the libraries on a locally-attached hard disk for the best performance.
  • Q

What's the difference between previous version 1.x and version 2?

    A
The biggest difference is the change in pricing policy. The KeyFlow Pro 1.x provides both server and client services in one app for $299.99 USD by default. It is not affordable for single users.
The newly upgraded KeyFlow Pro 2 runs in standalone mode for single users by default, and the price is greatly reduced to $49.99 USD. If necessary, you can purchase Server Expansion Pack through In-App Purchase, and configure a Mac as a server. Then, clients can access to the shared library and upload, search, preview and annotate the media over a local network.
  • Q

As a user who has already purchased a version 1.x, how can I upgrade to version 2?

    A
We’re sorry, but it is a paid upgrade. You can purchase the KeyFlow Pro 2.0 in the Mac App Store.
It runs in standalone mode by default, so if you want to use the server feature, you need to purchase “Server Expansion Pack” through In-App Purchase. For existing users, version 1.8.5 is the last update. KeyFlow Pro 1.x will no longer be updated.
  • Q

Are libraries created in version 1.x compatible with version 2?

    A

    Yes, It is.

Note : Please don’t forget to Back Up your existing libraries in advance.

Please follow the steps below before opening the libraries in version 2:

    1. Quit KeyFlow Pro 1.x and Update it to version 1.8.5 from the Mac App Store.

    2. Launch KeyFlow Pro 1.8.5, open the library you want to open in version 2.

    3. Go to File > Sync Database to update the database of the library to the latest one.

    4. Quit KeyFlow Pro 1.8.5.

    5. Launch KeyFlow Pro 2 and Open the library.

Note : Please don't open the same library in KeyFlow Pro 1.x and KeyFlow Pro 2 at the same time in order to prevent database corruption.

  • Q

What's the difference between "Copy to library" and "Leave files in place"?

    A
Before importing media files into KeyFlow Pro, you can select the import option to either “Copy to library” or “Leave files in place” in the General tab in Preferences.

Copy to library : This option is for importing media from a different disk/volume or keeping a copy of all media files that have already been imported into KeyFlow Pro within the library location. With this option, the media assets will be always online.

Leave files in place : This option is for linking to files in their current location, without copying them into the same library. In this case, KeyFlow Pro creates reference files that simply point to the source files, so the media assets can be managed as-is while maintaining its current storage location.

Store To: This option is a part of the “Leave files in place” option, and it is for setting source media locations for reference files. With this option, the media files will be copied to any location on a connected volume, and then indexed as external media.
  • Q

When I select the “Leave files in place” option, a volume selection window pops up. I selected the storage volume containing the files being imported, but the ‘Allow’ button is still disabled. What should I do?

    A
You must select a root volume (e.g. Macintosh HD), not the specific storage volume where the files to be imported are located. Once you allow access to the root volume, from now on the files can be imported without being prompted again.
  • Q

What’s the difference between existing Projects and new Live Folders?

    A
The existing Projects are used for manually importing media into the library for reuse from previously archived projects. You can filter the media and selectively import it into the library, as well as automatically apply the workflow to the project during import. Before importing, you can choose between “Copy to library” or “Leave files in place” (or Store-to). For reference media, you can Batch Relink the media to the changed location path when the files are moved to a different volume or folder.

Note : Once imported, the imported files cannot detect changes in the original file. If the linked original file is changed, you must import again.

The new Live Folders are used for automatically importing current working folders that are being updated frequently as Live Folders. All of the media files in Live Folders are automatically imported and updated with any changes in the Finder level. For example, when you rename a sub-folder or add/delete a file, the changes are synced in the Live Folder instantly. The current folder structure remains unchanged, so you can manage all of your media files in Live Folder at the Finder level. You can apply workflow to selected assets in the Live Folder manually. The media assets in Live Folders can be dragged-and-dropped into an existing Project (or Group). It will exist in both the Project (or Group) and the Live Folder; if the Live Folder is deleted from the list, the media assets will remain in the Project as a reference type.

Note : With the exception of images, previously generated preview files and thumbnails will not be updated automatically if the original file has changed. Additionally, the Batch Relink feature cannot be applied to Live Folders.
  • Q

What should I pay attention to when using the Live Folders feature?

    A
    - The Scan Performance of Live Folders is affected by the infrastructure environment. The KeyFlow Pro library should be stored into the Server’s local hard disk for the optimal scanning performance of the Live Folders. - As renaming or moving folders affects sub-files, it is recommended to avoid excessive changes in Live Folders. - Live Folders will appear offline if a top-folder is renamed or if the location of the Live Folder has changed. - If a Live Folder is deleted then re-added to the list, the entered metadata will be lost. - When the Live folder is being scanned, Auto Scan is in the standby status. After all of the Live Folders have been scanned, the Auto Scan is automatically performed after the Interval time (set in the Preferences) has elapsed. If the manual scan is performed frequently, the Auto Scan is performed after all the manual scans have been completed. Therefore, as the interval begins counting after all scans are completed, the Auto Scan may still be in standby status if the interval is long and the manual scan is frequently performed.
  • Q

After moving a library to another location, I can’t re-import the library. What’s going on?

    A
Be sure to quit KeyFlow Pro before moving a library. After moving the library, you have to delete the existing one first from the Library List (View > Show Library List) before re-importing. Don’t worry - deleting from the Library List will not delete the actual library.
  • Q

When I import a video, a low-resolution file for the preview is not created. Why?

    A
The preview option in Preferences might not be set. Go to Preferences, click the Encoder pane, then check the "Create Preview File during Import" option before you import. Although you didn’t check that option, the preview file can be manually created later (as long as the media is online) by using the “Create Preview File” option in the context menu.
  • Q

What is the resolution of the Low-Res video for preview?

    A
960 x 540 is the default resolution. The preview resolutions can be changed in the Encoder pane of Preferences before importing.
  • Q

How does the workflow assigned to the project work?

    A
If workflow operating conditions are set, the workflow will be automatically performed as the media files are being imported. You can assign workflows to a specific project, or apply a workflow to selected media assets at any time.
  • Q

Can I monitor the workflow status?

    A
Yes. You can real-time monitor the workflow status in the workflows on the bottom of Inspector. Also you can monitor the background jobs status in the pop-up window by clicking the background jobs icon on the bottom left of inspector. (View > Show Background Jobs)
  • Q

Can I apply a workflow to Watch Folder?

    A
Yes. To do this, you need to set the “Run Workflow for Media Imported from” option to “Watch Folder” before applying a workflow.
  • Q

Does Watch Folder continuously rescan the folders for any changes or additional files?

    A
No. It moves media files automatically into a specific Project of your library. If you want to use “rescan” feature, you can use the “Live Folders” feature. Live Folders automatically detect, import and update any changes in the Finder. To add the Live Folders from the Finder, choose File > New > Live Folder (or press Shift-Command-L).
  • Q

Is it possible to add the custom metadata fields into the search conditions?

    A
Yes. You can set it in the Search tab in Preferences.
  • Q

How can I connect to the shared library?

    A
As KeyFlow Pro has great flexibility with any network connection, you can easily connect to a shared library via Bonjour, LAN, VPN, or Wi-Fi connection. In order to connect to the shared library, choose File > Connect to Shared Library (or press Command-K), then enter the server access information and click the Connect button. Once the libraries are connected to KeyFlow Pro, you can freely switch between shared libraries in the Library List.
  • Q

Can I connect to the server from another device with the same user ID?

    A
Not at the same time. When logging in from a second device, you can choose which connection to keep active.
  • Q

Can I modify the metadata of media assets in the shared library?

    A
Yes. Make sure that “Creatable” and “Editable” permissions for the shared library are checked on the server. “Creatable” enables remote uploading and media duplication. “Editable” enables remote editing of Tags, Metadata, Annotation, etc. “Creatable” includes “Editable” permission, but “Editable” doesn’t include “Creatable” permission.
  • Q

Why are some of contextual menu items disabled in the shared library?

    A
First, the network volume where the shared library is located must be mounted in the Finder. After the network volume has been successfully mounted, clicking the Auto Search button in Library Information (View > Show Library Information) will result in all of the context menu items being activated and offline media items are changed to online. If you cannot mount the network volume, you can use the media assets by downloading them.
  • Q

When sharing KeyFlow Pro libraries over a network, is it possible to keep the footage on shared storage (such as SAN, NAS) then use these clips without downloading them?

    A
Yes. If the footages in shared storage have been imported into a KeyFlow Pro library with the “Leave files in place” option, client users can browse and drag-and-drop the footages from KeyFlow Pro to Final Cut Pro X. When dragging-and-dropping files, the original footages will be imported into Final Cut Pro X as the import setting in Final Cut Pro X.
  • Q

When I connect to a shared library, the media files are still offline even if the volume path is the same and the correct volume is mounted. Why?

    A
You need to click the Auto Search button (indicated by a magnifier-shaped icon) in the Library Information (View > Show Library Information).
  • Q

Does KeyFlow Pro support image sequence files?

    A
No. Currently, each image file is handled as a single asset.
  • Q

How do I use boolean operators?

    A
KeyFlow Pro supports Boolean (AND, OR) and phrase searches using quotation marks(“ ”). Title, Tags and File Extension are default search fields. You can add more metadata fields to the search in Preferences. Here are some examples. 1. AND search Search for media which includes both A and B. Do one of the following: A B A and B A AND B 2. OR search Search for media which includes either A or B. Do one of the following: A | B A or B A OR B 3. Phrase(“ ”) search Search for media which perfectly corresponds to words(phrases) between quotation marks(“ ”). “A is B” Note : KeyFlow Pro cannot perform both AND and OR searches at at the same time. For phrase searches, you must use a pair of quotation marks(" "). NOT search isn't currently supported.
  • Q

How do I copy(or back up) a KeyFlow Pro library?

    A
First, you need to run Sync Database before copying a library to another Mac so that the latest database is maintained. Next, you have to QUIT KeyFlow Pro and then copy the library in the Finder. In case of restoring the database required, please email our support team (keyflowpro@malgn.com) for specific instructions. Rule of thumb is to BACK UP your previous library in advance. You must be VERY CAREFUL when restoring databases because it is highly likely that the database can be mismatched between the Macs if you make a mistake. Note: Regardless of where the shared library is stored, the most up-to-date database is stored first in the local hard disk of a server Mac for the best performance. And then, it is backed up to inside the shared library every 6 hours. So, please run Sync Database before making a backup copy of a shared library for security.
